As central Alberta’s volunteer center, Volunteer Central is an independent charitable organization that promotes and encourages volunteerism in Red Deer and beyond, by connecting volunteers, non-profit organizations, and businesses to create successful volunteer relationships across central Alberta.

Job Summary
The Administrative Assistant is a front-facing and significant role. This position is a primary support to the Executive Director but works with members of the public, members of our partner organizations, our Board of Directors, and contract staff. The Administrative Assistant monitors our internal information systems and acts as the central hub of information management in our organization. As a front-line resource person for volunteers and our partner organizations, as well as the general public, answering the phone and email communication is part of this job. This role reports to the Executive Director of Volunteer Central. The role of Administrative Assistant is to help ensure the smooth administrative functioning of the organization and its programs by performing various duties, as follows:
Key Responsibilities
- Perform reception duties by greeting visitors, answering telephones, taking messages, and responding to inquiries from volunteers, the general public, and partner organizations
- Maintain website, including processing of volunteer opportunities by partner organizations
- Develop and distribute bi-monthly Community Connector and Sector News newsletters
- Perform general office functions such as booking and setting up meeting rooms, maintaining office supplies, and maintaining relationships with vendors and custodial staff
- Provide support to programs by managing and undertaking logistics including registration, venue booking, set-up and clean-up, collecting evaluations, compiling data for reports, maintaining a mailing list, creating marketing and promotional materials
- Perform general word processing and data entry functions including maintaining relevant spreadsheets, drafting correspondence
- Perform clerical functions such as opening and distributing mail and responding to general email inquiries
Qualifications
- Minimum educational of Grade 12 High School Diploma required
- Administrative Assistant Certificate or related education
- Experience working in a non-profit environment is preferred

- Exceptional interpersonal skills, ability to exercise initiative, prioritize, work to deadlines, and maintain a positive attitude at all times
- Tact, diplomacy, and maturity in dealing with partner organization staff, volunteers, donors, Board members, and the public
- Team player, able to thrive in a highly dynamic environment
- Exceptional attention to detail, organizational skills, and multi-tasking abilities
- Advanced skills in Word, Excel, PowerPoint, spreadsheets, software such as MailChimp, and other related computer skills with a minimum keyboarding speed of 50 words per minute
